Creating a dedicated Whistleblower Section in Actimo allows employees to anonymously report any violations of the company's code of conduct. By setting this up, you provide a secure and confidential space where team members can safely tip off management about unethical behaviour or other concerns without revealing their identity.
In this article, we’ll walk you through the steps to create this reporting section (message), ensuring employees feel protected and empowered to speak up.
How to create a Whistleblower message in Actimo:
1. Create a message
2. Add a feedback module
3. In the Advanced settings of the module, add an action 'Email recipient info to' so that the feedback is sent to the person in charge.
4. Click 'Save'
5. In the 'Publish' section of the message > Go to 'Advanced settings' > Tick 'Anonymise statistics'
6. Select the contacts/groups you would like to publish this message to
7. Select any relevant notifications channels if necessary
8. Click 'Publish'
You will see the following reminder when publishing the message:
The designated recipient will be notified whenever the module is used. The feedback will remain anonymous as long as the advanced settings are configured correctly in the 'Publish' section.
Below is an example of how an anonymous email looks like:
Menu
We recommend incorporating a Whistleblower section into the main menu to ensure it is easily accessible to all employees. By adding it to the menu, you can encourage a culture of transparency and make it simple for team members to report any concerns or violations of the code of conduct, fostering a safer and more ethical work environment.
Analytics
In the Analytics section, the feedback is anonymised too:
