How to Publish a Message in Actimo

This article will explain how you can publish a message and customise how it will appear inside a feed in your employee app.

How do you publish a message in Actimo?

1. What are categories and why you should add them:

Categories allow you to choose which messages to include in a feed inside your employee app.

For example, adding a "News" category will add your message to a feed with the matching category so in this case it would be a news feed.

How to add a category when publishing a message?

  1. Go to Publish Page

  2. Under the Categories, click on " + Add category"

  3. Add your desired category and save


What is the Content Preview?

In the Content Preview, as admins/editors you can decide whether to show the default Feed Image, Headline (title), and Preview text (description) taken from the message or customize the content before being displayed on the feed. 🙌


How does the Content Preview work?

  1. Click on the Edit button next to Content Preview

  2. Customize the default content of the Feed image, Headline, and Preview text settings taken from the message.

NB: These changes will only affect how your content appears in feeds. It won’t change the content itself.

  • Feed images: Here you can decide whether to show the same image as you have inside the message, or change for a new one uploaded from your device, media library, or a free image.

  • Headlines: Here you can add the title of the message. So instead of having the title of your message as the name of the message in your feed, you can now choose the headline separate from the message name in the editor

  • Preview text: Here you can add the preview text you want to appear in the feed, it could be a small introduction. This will appear as a short introduction to your message in the feed.


2. How to add the contacts I wish to publish my message to?

Here you can manage and notify contacts.

Adding contacts:

Here you can search and select a contact or a group of contacts who will be the recipients of your message


3. How can I choose which way I want to notify my contacts?

When choosing a channel to notify your contacts, a notification will appear in the notification center inside your employee app.

You can choose between:

  • Via Push notification

You can edit the Title of the message (3 - 50 characters) and the Text (0 - 200 characters)

Push notifications are sent to desktop browsers and native apps (iOS/Android). For mobile web apps, push notifications are limited to Android.

  • Via SMS:

You can edit the SMS Message (0 - 420 characters) / Estimated Characters: 4/160 per SMS

  • Via Email:

You can edit the sender, the email to get the replies and the subject

NB: You can select one channel, two channels, or all of them.


4. Scheduling and reminders (optional)

  • Send reminders

If you choose to remind at a certain time, you'll have to select a date and time for when you want to send the reminder.


If you choose to repeat with a delay, you'll have to select from the drop-down menus, the settings for repeat - the number of times a reminder should be sent - and delay - the time slot in between reminders.

NB: Changes to reminders will not take effect until the next send-out.


  • Restrict notification time

This will allow you to restrict access to the message at a specific hour and day.

Set notification time is ideal to use if:

  • You have automation running

  • Contacts in numerous time zones

  • You want to avoid messages being sent outside of office hours and during weekends.

NB: Keep in mind that setting notification time is pegged to the country code in recipients' phone numbers, which ensures that different time zones are taken into account.


  • Schedule for later

If you choose a certain time and date this is when the message will be sent at the time and date you have selected.

This is great if you need to schedule a message for when you could be Out of the Office.

Also, something great is that if you have the contact's timezone added to their profile we take this into consideration and the message will be sent at a selected time in your contact's timezone.


5. Advance Settings

Access:

  • Expiration

  1. Open the message and click on the publish page.

  2. Click on advanced settings, access, and tick expiration.

  3. You can Select between an expiration date or lay down the time frame within which you want the message to be active.

If you select a date, please note that the message will expire at the same time as you enable expiration. So if you select the expiration date to be August 6th, but you enable the setting on August 4th at 10.30 then the message will expire on August 6th at 10.30.

If you then edit the data again, the default will be 09.00.

If you select a time frame, you can choose the number of days you want the message to be available along with the time you wish for it to expire.

  • Open limit

  1. Go to a message and go to publish

  2. Open advanced settings, access, and tick the open limit

  3. Set the number to prevent contacts from viewing the message after opening it a specific number of times

  • Enable public link

  1. Go to a message and go to publish

  2. Open advanced settings, access, and tick enable the public link

  3. Then click you can copy the public link or the QR code as you wish and send it to your contacts


Control

  • Add to the home screen

By adding the company app to their home screen, each employee will get mobile access to all the information they need to perform well and have it right at hand at all times to visit again and again.

  • Allow unsubscribe

When enabled, you'll allow your users to Unsubscribe or Subscribe again to your communications through the option at the bottom center of your home page

Other

  • Disable Deeplinking

Deep linking makes your contacts able to access messages that haven't been published to them if that message is linked to a message that is published to them.

For example, Contact A has message X published to him. In message X there is a button that links to message Y. When deep linking is enabled, contact A will be able to access message Y through message X. Contact would not be able to access message Y without going through message X

  • Anonymise Statistics

Anonymize the message stats and responses. When the message has been sent, changing this setting is no longer possible.

  • Automation

You'll be able to see if the message is part of an Automation and remove it if you want.
