All you need to know about how chat works in Actimo

The Chat feature in Actimo enhances communication and collaboration, offering several useful functions to simplify conversations and stay connected.

This helpdesk article covers the main features of chat, including one-on-one and group conversations, managing participants, deleting conversations, message indicators, push notifications, and a quick shortcut to start chats from contact cards.


One-to-One Conversations:

With our chat feature, you can engage in seamless one-to-one conversations. After clicking on โ€œNewโ€, simply select the contact from the list, and you can initiate a private chat session. This facilitates focused and direct communication, making it ideal for personal discussions, sharing confidential information, or collaborating with specific individuals.

Sent, Delivered, and Read Indications

Our chat feature provides you with valuable indications about the status of your messages. You will see three different indicators:

  • "Sent" (one grey check mark) confirming that your message has been successfully sent.

  • "Delivered" (two grey check marks) indicating that the message has reached the recipient's device.

  • "Read" (two blue check marks) informing you when the recipient has viewed your message.

These indications offer real-time feedback, ensuring that you stay informed about the progress and engagement of your conversations.


Group Conversations

Collaboration becomes a breeze with our group conversation feature. You can create groups and invite multiple participants to join. This enables effective communication and collaboration among teams, departments, or interest-based communities. Group chats allow for real-time discussions, file sharing, and seamless coordination, fostering teamwork and boosting productivity.

  • Q : Can I create several group chats for different departments that my company has?

    • A : If you want each department to have its own group chat, you can set them up accordingly. Once the group chats are created, you will need to assign another Admin to each of them and, afterwards, you can leave the chats.


Adding and Removing Participants

As the admin of a group conversation, you have the authority to add or remove participants. This empowers you to manage the group effectively, ensuring that only relevant members are part of the conversation. By maintaining control over participant management, you can enhance the focus and efficiency of group discussions.


As an Admin of the group chat, you can add other Admins:


Admin Deletion of Conversations

In a group conversation, the admin can delete the entire conversation. When the admin initiates the deletion, the conversation and its history are permanently removed for all participants. This feature provides flexibility in managing group discussions and allows for content moderation when necessary.

  • Q : As an admin of a group chat, can I delete the chat?

    • A : As the creator of a group chat, you become the admin of the group chat. You can, as an admin, remove other group members, once you're the only one left in the conversation, you can delete the group as a whole.

  • Q : As an admin of a group chat, what happens when I delete the group?

    • A : When an admin deletes a group, the group will be gone for all members of the group. No longer to be found in their conversations list.


Push Notifications

Stay connected and never miss an important message with push notifications. Our chat feature sends real-time notifications to your device, alerting you whenever you receive new messages. Push notifications can be turned on / off on an individual basis. This ensures that you can promptly respond to urgent inquiries or actively participate in time-sensitive discussions, even when you're not actively using the app.


Shortcut to Chat from Contact Card

To streamline your communication workflow, we have implemented a convenient shortcut that allows you to initiate chats directly from contact cards. When viewing a contact's details, simply tap on the chat icon to start a conversation instantly. This feature saves you time and effort, eliminating the need to search for contacts or navigate through multiple screens to begin a chat.


Data storage & access

  • Q : Where is the chat data stored?

    • A : Actimo Chat is powered by a modern cloud architecture to provide scalable and secure experience. The service introduces a new sub processor, Cometchat.com, for your data. Cometchat stores and process the chat data within EU and operates on EU data centers.

  • Q : Can I access the chat history data of my employees?

    • A : No, there is no moderation access or admin access to the chats.

  • Q : Can I see the analytics of the Chat feature across my company?

    • A : No, it is not possible to access data or analytics on the usage of the Chat feature.

Good to know:

  • It's required to update your app to the latest version in the app store or Google Play for push notifications to work properly

  • Activating Chat activates it for all the contacts in your company, including all workspaces.
